How the Postmark Rule Works

Two conditions have to be met. Choose a Mailing Method That Actually Proves the Date

Getting an envelope postmarked is one thing. Proving to the IRS months later that it was postmarked on time is another. The method matters.

Registered Mail

Registered mail is the strongest option. If you owe a significant amount and you’re filing at the wire, registered mail with return receipt is worth the extra cost.

Certified Mail

Certified mail is cheaper and more common. Approved Private Delivery Services

The IRS also treats certain FedEx, UPS, and DHL Express services as equivalent to USPS for postmark purposes. Only specific service tiers qualify:

  • DHL Express 9:00, 10:30, 12:00, Worldwide, Envelope, and several Import Express options
  • FedEx First Overnight, Priority Overnight, Standard Overnight, 2 Day, and several international services

Standard ground shipping does not qualify. Collection Boxes and Postage Meters

Dropping your envelope in a blue USPS box works only if the final pickup for the day hasn’t already happened. If it has, the postmark won’t be applied until the next business day. A private postage meter prints a date, but that isn’t the same as an official USPS cancellation, and it gives you less protection if the date is questioned. On the last day, the post office counter and a hand-applied postmark is the safest route.

Weigh the packet too. A return with multiple schedules, W-2s, and statements can easily exceed the limit for a single first-class stamp. An envelope returned for insufficient postage may not go back out until after the deadline, and the postmark rule won’t save you.

Get These Right Before You Seal It

The IRS uses different mailing addresses depending on your state and whether you’re enclosing a payment. If you’re paying by check or money order, make it payable to “United States Treasury.” Write your name, address, Social Security number, daytime phone number, and the tax year and form number (for example, “2025 Form 1040”) on the payment. Mailing an Extension on the Last Day

If you can’t finish the return in time, mailing Form 4868 by the deadline gets you an automatic six-month extension to October 15, 2026. The extension gives you more time to file, not more time to pay. You still need to estimate what you owe and pay it by April 15. What It Costs If the Postmark Misses

If the envelope isn’t postmarked by the deadline and you owe tax, two penalties begin running right away. The failure-to-file penalty is 5% of unpaid tax for each month or partial month the return is late, up to 25%. If the return is more than 60 days late, the minimum is $525 or 100% of the tax due, whichever is less, and that minimum applies even when the balance is small.10Internal Revenue Service. The failure-to-pay penalty runs separately at 0.5% of unpaid tax per month. When both apply in the same month, the failure-to-file piece is reduced so the combined charge stays at 5% per month (4.5% plus 0.5%). The IRS can waive penalties for reasonable cause, including natural disasters, serious illness, or a death in the family. E-Filing Is Usually the Safer Last-Day Choice

If it’s April 15 and you haven’t started the envelope, electronic filing is the easier path. E-filed returns are accepted until midnight on the deadline, and you get an immediate confirmation that the IRS received the return.13Internal Revenue Service.
