BBTM Charge Explained: Reviewing, Disputing, and Late Fees

A BBTM charge on your bank statement is a payment processed by Blackbaud Tuition Management, a tuition billing platform used by thousands of private K-12 schools in the United States. If it shows up on your statement, a school connected to your family almost certainly uses Blackbaud to collect tuition and fees. The charge itself could be a tuition installment, a processing fee for paying by card or bank transfer, a late fee, or another school-related item. What the Charge Is Likely For

Blackbaud acts as an intermediary. Schools set tuition amounts, fee schedules, and payment plan structures; Blackbaud handles the invoicing, processing, and account management. The company is “only provided the name and amount of a charge or discount” by the school and cannot change what a family owes without the school’s approval.2Blackbaud. Parent FAQ

A BBTM line on your statement is usually one of the following:

  • A scheduled tuition installment under your family’s payment plan. Depending on how the school configured things, that plan may be monthly, semester-based, or annual.
  • A platform fee for the payment method you used. Credit and debit card payments typically carry a fee of about 2.65% to 3.12%, depending on the school and state. ACH (bank transfer) payments carry a fee of 1% plus $0.30 per transaction, capped at $2.50 or $5 depending on the school’s contract.3Finalsite (Ash Rosary). How To Review or Dispute a BBTM Charge

Where you go depends on what you’re questioning. Because Blackbaud processes charges on behalf of schools rather than setting them, a billing dispute usually involves the school, Blackbaud, or both.

Start with the school’s business office if the question is about why a fee, tuition amount, or discount looks the way it does. Blackbaud does not determine tuition amounts or school-specific fees and cannot modify them without the school’s sign-off.8Blackbaud. BBTM Parent FAQ

Start with the Parent Contact Center if the question is about a processing error, a failed or duplicate transaction, or how a payment was applied. Representatives can also reach out to the school on your behalf to clarify an amount. For a Follow Up Service Fee specifically, families may be able to request a one-time courtesy waiver per academic year by contacting Blackbaud or the school’s billing coordinator.6Catholic Schools NY. Tuition Management Update

Why a Late Fee May Have Triggered

The Follow Up Service is automated. The $40 fee is assessed the morning after the due date, factoring in any grace period the school has configured, provided the outstanding balance exceeds the school’s threshold.9Blackbaud. Tuition Management Follow Up Service Once it’s assessed, the system sends emails and text messages, repeating weekly until the account is current, or for up to 52 weeks after the payment plan ends.

Schools have some latitude. They can set a grace period, adjust the minimum threshold, or turn the service off for certain months. If a school waives the fee for a family, the automated messages stop until the next fee lands. Schools can also suspend the service for a family in financial hardship, for up to two months at a time.6Catholic Schools NY. Tuition Management Update

One detail catches parents off guard. If your account has a past-due balance, automatic payments do not apply to it. They go toward the current month’s charges. A separate manual payment is needed to clear the arrears, and until it’s made, the late-fee cycle keeps running.1Blackbaud. Payer FAQ

Managing Your Account Going Forward

All account management happens through the parent portal at parent.blackbaud.school. First-time users set up access with the email or phone number provided during enrollment and verify with a code. Accounts are tied to a Blackbaud ID, and parents with children at more than one school can link additional accounts from the same login.10Blackbaud. Parent Site Login

The portal accepts checking or savings accounts (ACH), debit cards, and credit cards (Visa, Mastercard, American Express, and Discover), with availability depending on what each school has enabled. Automatic payments are configured under “My Profile” by adding a payment method and selecting the auto-debit option. To cancel or change an automatic payment, make the change online at least three business days before the due date, or by phone or chat at least two business days before.1Blackbaud. Payer FAQ

Every family has a 13-digit Family ID that changes each year. It’s required on all payments, including mailed checks, so funds get applied to the right account. Online and phone payments post the same day. Mailed checks take seven to ten business days.1Blackbaud. Payer FAQ

A Note on Data Security

If your family’s information is in Blackbaud’s systems, there is a security incident worth knowing about. Between February and May 2020, a ransomware attacker breached Blackbaud’s network and stole over one million files from more than 13,000 customer organizations, including K-12 schools. The stolen data included Social Security numbers, bank account information, medical records, and personal information about children.11Cohen Milstein.
