An Adams 1099 tax forms kit gives you the preprinted IRS forms, transmittal sheets, security envelopes, and filing software to report payments to contractors and other non-employees, and the work breaks down into five steps: pick the right form, collect each payee’s W-9 information, enter and print the data with the included Adams Tax Forms Helper, get the copies out by their separate deadlines, and keep the records. For tax year 2025 (filed in early 2026), you generally must issue a 1099 for anyone you paid $600 or more in nonemployee compensation, rents, royalties, or certain other categories.1Internal Revenue Service. Am I Required to File a Form 1099 or Other Information Return
What’s in the Kit
A standard Adams 1099-NEC kit for 40 recipients contains 40 sets of four-part 1099-NEC forms, six Form 1096 transmittal sheets, 40 peel-and-seal security envelopes, and a print access code for the Adams Tax Forms Helper software. The forms are micro-perforated so each copy separates cleanly. Copy A, printed in scannable red ink, goes to the IRS. Copy B goes to the recipient. Copies 1 and 2 handle state filing and your own records. The envelope windows show the recipient’s address while hiding the TIN.
The access code unlocks the Adams Tax Forms Helper, a browser-based tool that walks you through data entry, prints onto the physical forms, and can e-file directly with the IRS and, where available, with state agencies. If you also need to report rents, royalties, or attorney payments, Adams sells 1099-MISC kits with the same structure.
1099-NEC or 1099-MISC
Form 1099-NEC is strictly for nonemployee compensation: $600 or more paid to freelancers, independent contractors, and outside service providers, entered in Box 1.2Internal Revenue Service. About Form 1099-NEC, Nonemployee Compensation Backup withholding on those payments goes in Box 4.
Form 1099-MISC handles the other reportable payments. The common boxes:
- Box 1, Rents: $600 or more for office space, equipment, or pasture leases.
- Box 2, Royalties: $10 or more in gross royalties for patents, copyrights, trademarks, or similar intangible property.
- Box 3, Other income: $600 or more in prizes, awards, or other taxable payments that don’t fit another box.
- Box 6, Medical payments: $600 or more paid to physicians or other health care providers in the course of your business.
- Box 10, Gross proceeds to an attorney: $600 or more paid to a lawyer for legal services, regardless of who the services were performed for.
The same payee can receive both forms in the same year, one for contract work and one for rent, for example. Each form reports a different type of payment.3Internal Revenue Service. Instructions for Forms 1099-MISC and 1099-NEC
Collect W-9 Information First
Every 1099 needs the recipient’s legal name, mailing address, and Taxpayer Identification Number (a Social Security number for an individual or an EIN for a business). You collect this by having each payee complete a Form W-9 before or at the time of first payment. Waiting until January to chase down W-9s is one of the most common mistakes small businesses make. If a payee never provides a valid TIN, you may be required to withhold 24% of future payments as backup withholding and send that to the IRS.4Internal Revenue Service. Backup Withholding
Before printing anything, reconcile every dollar amount against your accounting records and bank statements. The Adams Tax Forms Helper can import from common spreadsheet formats, but imported data is only as clean as the bookkeeping behind it.
Filling Out and Printing
The Adams Tax Forms Helper guides you through each field and gives you a print preview so you can confirm names, TINs, and dollar amounts land in the right boxes. Alignment matters. The IRS scans paper Copy A using equipment calibrated to the red ink on the preprinted forms, and if text overlaps a box border or prints off-center, the scanner may reject the form and trigger a notice.
Do not hand-correct a printed form. Print a fresh one with the corrected data and check the “CORRECTED” box at the top; keep the spoiled copy in your files.2Internal Revenue Service. About Form 1099-NEC, Nonemployee Compensation If the incorrect version already went to the IRS, send the corrected one to the IRS too.
Deadlines
The 1099-NEC and 1099-MISC deadlines are not the same, and mixing them up is an easy way to draw a late-filing penalty.
1099-NEC
Recipient copy and IRS copy are both due January 31, whether you file on paper or electronically. No automatic extensions.5Internal Revenue Service. Publication 1099, General Instructions for Certain Information Returns
1099-MISC
Recipient copies are due January 31. The IRS copy is due February 28 on paper or March 31 electronically. If you’re reporting substitute payments in lieu of dividends (Box 8) or gross proceeds paid to an attorney (Box 10), the recipient deadline shifts from January 31 to February 15.5Internal Revenue Service. Sending Returns to the IRS
Paper
Separate your red Copy A forms by type, keeping 1099-NECs and 1099-MISCs in their own stacks, and attach a signed Form 1096 as the cover sheet for each group. The 1096 summarizes how many forms you’re transmitting and the total dollar amounts. Mail to the IRS processing center assigned to your state (Austin, Kansas City, or Ogden); the state assignments are listed in the IRS filing instructions.6Internal Revenue Service. Where to File Form 1096 Certified mail or another trackable service gives you proof of timely filing.
Electronic
If you file 10 or more information returns of any type during the calendar year, electronic filing is mandatory.7Internal Revenue Service. Topic No. 801, Who Must File Information Returns Electronically Under 10, either method works. The Adams Tax Forms Helper submits returns directly to the IRS, and e-filing removes the need for Form 1096 because the system builds the summary automatically.
State Filing
Filing federally does not automatically satisfy your state. More than 40 state and local jurisdictions require some direct 1099 reporting, and the rules vary. Some states participate in the IRS Combined Federal/State Filing Program, which forwards your electronically filed 1099-NEC and 1099-MISC returns to the state agency at no extra charge.8Internal Revenue Service. Combined Federal/State Filing (CF/SF) Program Even so, some participating states still require separate notification or extra reporting for certain form types, and non-participating states require direct filing on their own timeline. Check your state department of revenue’s site before the federal deadline. The Adams Tax Forms Helper offers state e-filing in some jurisdictions.
Penalties
The IRS charges a per-form penalty for every information return or payee statement filed late or incorrectly. For returns due in 2026:
- Up to 30 days late: $60 per form.
- 31 days late through August 1: $130 per form.
- After August 1, or not filed: $340 per form.
- Intentional disregard: $680 per form, no cap.
Small businesses (average annual gross receipts of $5 million or less over the prior three tax years) face lower aggregate maximums, but the per-form amounts are the same. Penalties apply separately for the IRS filing and for the recipient statement, so a single missed form can generate two penalties.9Internal Revenue Service. Information Return Penalties
Speed of correction is the biggest lever. Fixing a wrong TIN or dollar amount within 30 days holds the cost at $60. Letting it slide to fall pushes it to $340. If the IRS treats the failure as intentional, the $680 per-form penalty has no ceiling on the total.9Internal Revenue Service. Information Return Penalties
Keeping Your Records
Hold copies of every filed 1099, every Form 1096, and every W-9 for at least three years from the filing date. That matches the IRS’s standard audit window. If income was underreported by more than 25% of gross income, the period extends to six years, and there is no time limit at all if a return was never filed or was fraudulent.10Internal Revenue Service. How Long Should I Keep Records Four years is a comfortable buffer for most filers. Digital or physical copies both work; the IRS accepts either during an examination.
