1099-R Deadline: Recipient Copy, IRS Filing, and Penalties

Form 1099-R must be in the recipient’s hands by January 31 of the year after the distribution, and because January 31, 2026, falls on a Saturday, the 1099-R deadline for 2025 distributions shifts to Monday, February 2, 2026. The payer’s deadline to file its copy with the IRS runs separately: March 2, 2026, on paper (February 28 falls on a Saturday) or March 31, 2026, if filed electronically.1Internal Revenue Service. When Your Copy Should Arrive

Your plan administrator, insurance company, or financial institution has until January 31 to send you the form. For 2025 distributions, the operative date is February 2, 2026. Delivery can be by mail or electronic, but electronic delivery only counts if you previously gave affirmative consent. Having an online account with the institution is not consent on its own. The payer has to tell you what hardware and software you need, how to withdraw consent, and that a paper copy is available if you ask.

If you opted in to paperless statements, check the account portal or your email in the second half of January rather than waiting on the mail. If nothing arrives and nothing posts online by early February, start making calls.

When the Payer Files With the IRS

The payer’s obligation to the IRS runs on a different clock than its obligation to you. Copy A of the 1099-R, bundled with transmittal Form 1096, is due February 28 on paper, which becomes March 2, 2026, for 2025 distributions because the 28th is a Saturday. Electronic filers get until March 31.1Internal Revenue Service. Publication 1099 (2026), General Instructions for Certain Information Returns

Electronic filing is no longer optional for most payers. Any entity required to file 10 or more information returns in total across all return types during the year must file electronically.2Internal Revenue Service. Topic No. 801, Who Must File Information Returns Electronically The old threshold was 250 returns per type, so guidance still citing that number is out of date. In practice, nearly every financial institution and plan administrator now clears the 10-return bar, which makes March 31 the operative IRS deadline for most filers.

Extensions for Payers

A payer that cannot meet the IRS filing deadline can request a 30-day automatic extension by submitting Form 8809 through the IRS FIRE system or IRIS portal on or before the original due date.3Internal Revenue Service. About Form 8809, Application for Extension of Time to File Information Returns For electronically filed 1099-R returns, the Form 8809 must land by March 31. No explanation is required for the first 30 days. A second 30-day extension is possible but only on paper, only if Box 7 is checked, and only with a hardship explanation.

These extensions apply only to the IRS filing. They do not push back the deadline for getting your copy to you. If a payer tells you they “filed for an extension,” that does not excuse a late recipient copy.

If Your 1099-R Is Missing or Wrong

Start with the payer. Call as soon as the recipient deadline passes with nothing in hand or in your account. Most problems are mundane: a stale address, a form in transit, or an electronic statement you did not realize was posted. The payer can confirm the mailing date, resend, or issue a corrected copy.

If nothing has arrived by the end of February, call the IRS at 800-829-1040. The IRS can open an inquiry and contact the payer directly.4Internal Revenue Service. What to Do When a W-2 or Form 1099 Is Missing or Incorrect Have the payer’s name, address, and phone number ready, along with your best estimate of the distribution amount and any tax withheld.

Filing Without the Form

A missing 1099-R does not extend your own filing deadline. If April 15 is approaching and the form still has not shown up, file on time using Form 4852 as a substitute.5Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R You estimate the distribution amount and withheld taxes from your own records: account statements, withdrawal confirmations, or year-end summaries from the plan administrator.

If the real 1099-R eventually arrives with different numbers, or a corrected version lands after you have already filed, submit an amended return on Form 1040-X.6Internal Revenue Service. Topic No. 154, Form W-2 and Form 1099-R (What to Do if Incorrect or Not Received) Ignoring a corrected 1099-R is a reliable way to generate an IRS notice months later. You generally have three years from the original filing date to amend and claim any refund you are owed.

Penalties Payers Face

Two separate penalty regimes apply to late or incorrect 1099-R forms: Section 6721 covers failure to file correctly with the IRS, and Section 6722 covers failure to furnish the correct form to the recipient.7Office of the Law Revision Counsel. 26 U.S.C. 6722 – Failure to Furnish Correct Payee Statements Both share the same per-return amounts for 2026, scaling by how late the fix comes.

For payers with average annual gross receipts above $5 million, the 2026 tiers run:8Internal Revenue Service. IRM 20.1.7 Information Return Penalties

  • $60 per return if corrected within 30 days of the deadline, capped at $683,000 for the year.
  • $130 per return if corrected after 30 days but by August 1, capped at $2,049,000.
  • $340 per return if not corrected by August 1, capped at $4,098,500.
  • $680 per return for intentional disregard, with no annual cap.

Smaller payers face the same per-return amounts but lower annual caps. None of this money comes to you, but it explains why most institutions take the January 31 date seriously. If a payer repeatedly ignores your requests for a correct form, the IRS has real leverage when you report the problem.

Your Own April 15 Deadline

The standard deadline for filing your personal return is April 15 of the year after the distribution, which is April 15, 2026, for 2025 distributions.9Internal Revenue Service. When to File You can request an automatic six-month extension on Form 4868 by that date, but the extension only buys time for the paperwork. Any tax you owe is still due April 15, and interest accrues on unpaid balances from that date regardless of the extension.
